Fluence Training Enrollment & Policy Agreement

This Training Enrollment and Policy Agreement (the “Policy”), effective as of the latest revision date set forth below, applies to all training courses, education and/or other related services and/or products offered by Fluence International, Inc. (“Fluence”). This Policy sets forth your rights, obligations and expectations with respect to Fluence training courses as well as the approved grievance procedure.

This Policy is a legally binding agreement between you and Fluence, which supersedes and replaces any prior agreement between you and Fluence regarding the subject matter set forth herein. 

By enrolling in a Fluence program, you agree to all terms and policies outlined herein.

Fluence reserves the right to revise, amend and/or update this Policy at any time in its sole discretion and without prior notice. It is your sole responsibility to review the latest version of this Policy each time you enroll in or access any Fluence training course to ensure that you are aware of any changes to the Policy terms




1. Introduction and Scope

1.1 Purpose and Scope of Agreement
This Agreement outlines the rights, obligations, and expectations for all participants participating in Fluence’s educational programs. It serves as a comprehensive policy covering enrollment terms, general course policies, and additional terms specific to Fluence certificate programs.

1.2 Program-Specific Terms
Certificate program participants are subject to additional requirements detailed in this Agreement and in the Training Handbook. These sections provide specific terms related to eligibility, conduct, and certification standards applicable only to certificate programs. The Training Handbook contains further details on program expectations, evaluation criteria, and procedures, supplementing the requirements outlined here.



2. General Policies and Expectations for All Programs

2.1 Diversity and Inclusion Policy
Fluence is committed to creating a safe, inclusive environment for all learners. We care deeply about the wellbeing of everyone connected to our work—including staff, collaborators, attendees, and the broader community. Our mission is to promote diversity within the field of psychedelic-informed mental health by welcoming people from all backgrounds, including various races, ethnicities, genders, religions, sexual orientations, abilities, and immigration statuses.

2.2 Community Expectations and Code of Conduct
Fluence expects all participants to abide by community guidelines to foster a respectful and safe environment. This includes:

  • Respect for all community members, staff, and peers.

  • Acknowledgment that while privacy is respected, training sessions are not confidential.

  • Understanding that failure to adhere to these expectations may result in disciplinary action, including possible termination from the program.

2.3 Attendance Policy
You are expected to attend and actively participate in your course in its entirety. If you anticipate missing any portion of the course or an individual meeting, you must notify Fluence in advance. Partial attendance is not permitted, and records of completion will only be issued to those who attend all sessions of the course or program. For live courses, full credit requires both attendance and active participation in all scheduled sessions. 

2.4 Intellectual Property
All course materials, including but not limited to lectures, presentations, videos, handouts, and other documents, are the intellectual property of Fluence International, Inc. and are protected by copyright law. These materials are intended solely for the registered participant's personal use within the context of the training program. Reproduction, distribution, or sharing of course content or recordings in any form outside of the course is prohibited without explicit written permission from Fluence. Violation of these terms may result in disciplinary and/or legal action, including but not limited to termination of access to Fluence’s services.

2.5 Video Recording and Privacy
Fluence may record training sessions conducted via Zoom or similar platforms. These recordings are for internal use and may be available to other participants for review. Participation constitutes a waiver of review or approval rights. Recordings will not be made available to the public or used for advertising.

2.6 Accessibility Statement
Fluence is committed to making its training courses accessible to all participants. We strive to accommodate individuals with disabilities and other access needs. If you require specific accommodations, please contact us at least two weeks before the course start date, so we have adequate time to make the necessary arrangements. Fluence will work with you to ensure you have a supportive and inclusive learning environment, in compliance with applicable accessibility regulations.




3. Financial Terms and Policies

3.1 Tuition and Fees
Tuition includes enrollment in the classroom, live sessions, and on-demand courses as applicable. Participants are responsible for full payment of program fees before beginning their course. If making payments through a payment plan, failure to keep in good standing will result in the expiration of course materials until payment is received. 

3.2 Cancellation, Refund, and Transfer Policies
Requests for transfer or credit may be granted prior to the course start date and are subject to a $150 processing fee. No refunds will be provided for cancellations after the course has begun or for no-shows. Fluence reserves the right to issue credits toward other programs in lieu of refunds, which are valid for one year and are non-transferable.

4. Certificate Program-Specific Requirements

4.1 Eligibility and Prerequisites
Participants in certificate programs must hold an active medical or clinical license or be on track to obtain licensure through an advanced degree program or postgraduate professional experience.

4.2 Program-Specific Conduct and Competency Standards
Certificate program participants recognize that the certificate program establishes a set of defined competencies required for graduation and that development of these competencies is essential to ethical and safe practice. All program interactions, including classroom and experiential components, contribute to demonstrating these competencies.

4.3 Additional Program Completion Requirements
Certificate program participants must fulfill attendance and competency requirements to complete the program. Any participant who misses more than the allowed class time will not receive a certificate of completion. Program leaders may issue evaluations and feedback regarding participant progress.

4.4 Certification and Use of Credentials
Earning a certificate does not constitute professional licensure. Professional Certificates from Fluence are dependent on the recipient's active license as a healthcare provider. Recipients may not represent themselves as certified or licensed based solely on the completion of Fluence’s program. Misrepresentation of certification may result in rescinding of certification privileges.




5. Continuing Education

Fluence is an authorized provider of Continuing Education by the American Psychological Association, National Association of Social Workers, and New York State Department of Education. Attendance is closely monitored and verified. We provide attendance records to our CE partners as required. There is no partial CE credit or makeup for missed hours. Please check individual course pages for the number and type of hours offered for each course. You will be issued a Record of Completion document upon completion of each CE course. 6. Technical Requirements

Participants are required to have a reliable internet connection, a compatible device (computer, tablet, or smartphone), and updated software to access Fluence’s online training sessions. Please ensure that you can run Zoom and any additional required software as outlined in the course materials. For optimal viewing, a laptop or desktop is recommended. It is the responsibility of each participant to resolve any technical issues they may encounter with their setup, as Fluence cannot provide individual technical support beyond general guidance.




7. Grievances and Support

7.1 Grievance Procedures
Fluence is fully committed to conducting all activities in strict conformance with the American Psychological Association’s Ethical Principles of Psychologists. Fluence will comply with all legal and ethical responsibilities to be non-discriminatory in promotional activities, program content, and in the treatment of program participants. The monitoring and assessment of compliance with these standards will be the responsibility of Elizabeth Nielson, Ingmar Gorman, Alexander Carmago and David Gumpel.

When a grievance arises pertaining to continuing education programs or processes, the complainant should notify us by phone or e-mail as soon as possible, so that the nature of the concern may be addressed in a timely fashion.

To the extent possible, Fluence will attempt to resolve any issues informally through collaborative discussion and feedback. If a grievance cannot be resolved informally, or if you prefer to contact the appropriate professional association directly, you may contact the ethics board of the American Psychological Association.


If your grievance concerns a presenter, the content presented by the presenter, the style of presentation, level of presentation, or the facilities, please send us your comments in writing and we will pass on the comments to the speaker or facility manager, assuring your confidentiality.




8. Agreement and Acknowledgment

8.1 Acknowledgment of Agreement
By checking the acknowledgment box you confirm that you have read and agree to all terms outlined in this Agreement. The Training Handbook contains additional guidance on program policies.
